Who we are
CoverCurrent is a vendor certificate of insurance (COI) tracker. The operator of the service is CoverCurrent. Questions: [email protected].
What we collect
- Your account details: name, work email, company name, billing email, and messages you send us.
- Vendor list data you give us: vendor names, contacts, emails, insurance-agent emails, coverage types, certificate expiry dates, job or property labels, and notes.
- Certificate files: COI PDFs or images uploaded by you or by a vendor through a magic link.
- Reminder and upload logs: when we emailed someone, whether a link was used, and when a file arrived.
- Payment metadata: Polar handles the card. We receive the fact of payment, plan, and status, not the full card number.
We do not ask vendors to create accounts. A magic link identifies the upload for a specific certificate.
Why we collect it
To import your list (including validating emails and flagging bad addresses back to you), send expiry reminders to the vendor and their insurance agent, send you a Monday morning digest plus an immediate status alert when a cert is 7 days out or expired, accept replacement certificates, show you the current list, bill the subscription, and answer support mail. We also keep enough records to handle refunds and disputes.
Who we email
We email vendor addresses and insurance-agent addresses you put on the list because that is the product: reminders to send a current COI. You are not copied on those follow-ups. We email your address for billing, support, the Monday digest, and immediate alerts (7 days out or expired). You are responsible for having a reason to give us vendor and agent addresses (they work for you, they are on your vendor roster, they already send you certs).
Who we share with
- Email delivery so reminders, magic links, digests, and status alerts actually send.
- File storage for certificate PDFs.
- Polar for checkout and billing.
- Hosting such as Cloudflare Pages for this site.
We do not sell your vendor list. We do not use vendor or agent emails for our own marketing. We will share data if the law requires it, or if you ask us to export it to you.
Cookies and logs
This marketing site is static. We may see standard server logs (IP, browser, page). If we add an account session later, we will use a session cookie to keep you signed in. We do not run advertising pixels on these pages today.
Retention
We keep vendor list data and certificates while your account is active. After you cancel, we keep records as long as we need them for billing, refunds, and legal holds, then delete or anonymize the rest. You can ask for an export or a deletion at [email protected].
Magic links
Upload links expire and should be treated like a password to that one certificate. Do not post them in a public forum. If a link leaks, write us and we will revoke it.
Children
This service is for businesses. We do not knowingly collect data from children.
Changes
If this policy changes in a material way, we will update this page and the date above. Continued use after that date means you have seen the new version.
